How do I check a caregiver's certification, car, and background-check eligibility before spending time on a phone screen?

The short answer

Ask all of it at the moment of application, in the same words, of every applicant. The expensive part is finding out late

Most agencies learn the disqualifying facts in the wrong order. You read a resume, leave two voicemails, finally connect, like the person, schedule an in-person, and then discover the HHA certificate lapsed in March or the car belongs to a boyfriend who works days. Worse: you pay for a background check on someone who could have told you up front how it would come back.

None of those facts is hidden. Applicants will tell you all of it if someone asks. The problem is that in a phone-tag process, "someone asks" happens days in, after you've already spent the hours.

What this does and doesn't replace

Anna's screen tells you what the applicant says about their credentials, on record. It does not replace verifying the certificate against your state registry or running the actual Level 2 before hire; nothing does. What it removes is the wasted spend: the interviews with people who self-disqualify in the first five questions, and the background checks on people who already knew the answer. Verification effort goes only to candidates who cleared everything they could clear by answering honestly.

Common follow-up questions

Does Anna verify the certificate number with the state registry?

No. She asks, follows up on vague answers, and records the response with the applicant's name on it. Registry verification stays in your onboarding process, where it belongs; it just runs on far fewer people.

Can I add my own requirements?

Yes. Whatever you ask on a first call, Anna asks: comfort with memory care, transfers, incontinence care, working with children, specific coverage areas. You define what a good caregiver looks like at your agency once.

What happens to applicants who fail a requirement?

They're flagged and ranked accordingly, with the answer on record, and nobody is auto-rejected. If someone says their certificate renews next week, you can see that and decide it's worth a call.

Does this work outside Florida?

Yes. The Florida specifics (Level 2, the required trainings) are examples; you set the requirements for your state and Anna asks about those.
